Worker

The generic term for any individual represented in Workdayemployees, contractors, interns, freelancers, or contingent labor. The worker record stores personal, job, and compensation data.

Position

A structured job slot within an organization. Positions have a title, grade, incumbent (the worker filling it), and can be linked to cost centers and locations. Unlike job, a position is a specific, traceable instance.

Job Profile

A reusable template that defines the responsibilities, competencies, and qualification requirements for a type of work. Multiple positions can share the same job profile.

Compensation Package

A collection of pay elements (base salary, bonus, stock, allowances) that together form a workers total remuneration. Compensation packages are often tied to eligibility rules and can be reviewed through Compensation Reviews.

Eligibility Rule

A condition that determines whether a worker qualifies for a particular benefit, compensation element, or program (e.g., must be a fulltime employee with 12 months of service to receive a bonus).

Time Tracking

Workdays module for recording hours worked, overtime, and time off. Time entries are linked to a workers schedule and can trigger payroll calculations.

Financial Management Terms

Ledger

A central repository that stores all financial transactions. Workday supports a multiledger architecture, enabling separate ledgers for IFRS, GAAP, or internal reporting.

Chart of Accounts (COA)

A hierarchical list of account numbers used to classify financial transactions. In Workday, the COA is configured as a set of Account objects.

Expense Report

Domain Security Policy

A set of rules that determine which security groups can view, edit, or create records within a specific domain.

Business Process Security Policy

Defines which groups may initiate, approve, or edit a given business process and which steps are visible to each group.

Audit Trail

A historical log of changes made to data objects or business processes. The trail records who made the change, when, and what the new value is.

Release

Workday delivers new functionality on a quarterly cadence (e.g., Spring 24, Summer 24). Each release contains new features, enhancements, and bug fixes.
