Company Health & Safety Policy

Purpose

The purpose of this Health and Safety Policy is to provide a safe and healthy working environment for all employees, contractors, visitors and members of the public who may be affected by our operations. It demonstrates our commitment to preventing injury, illness and occupational disease, and to complying with all applicable health and safety legislation.

Scope

This policy applies to every person who works for or on behalf of the company, regardless of employment status, location or the nature of the work performed. It covers all premises, vehicles, equipment and processes under the companys control.

Key Responsibilities

Senior Management Provide leadership, allocate resources, and ensure the policy is integrated into business planning.
Health & Safety Officer Coordinate implementation, conduct inspections, maintain records and advise on compliance.
Supervisors & Managers Enforce safe work practices, conduct daily checks and ensure employees receive appropriate training.
Employees Follow safe work procedures, wear required personal protective equipment (PPE), report hazards promptly and participate in training.

Risk Assessment and Control

Risk assessment is a systematic process that identifies hazards, evaluates the likelihood and severity of potential harm, and implements control measures. The steps are:

  1. Identify hazards in the workplace (e.g., chemicals, machinery, ergonomics).
  2. Determine who might be harmed and how.
  3. Evaluate the risks and decide on appropriate controls using the hierarchy of control:
    • Eliminate the hazard.
    • Substitute with a safer alternative.
    • Isolate the hazard.
    • Implement engineering controls.
    • Introduce administrative controls.
    • Provide PPE as a last resort.
  4. Record findings and communicate them to all affected persons.
  5. Review and update assessments regularly, especially after incidents or changes in the workplace.

Training and Competence

All personnel must receive appropriate health and safety training before commencing work and at regular intervals thereafter. Training topics include:

  • General workplace safety and emergency procedures.
  • Jobspecific hazards and safe work methods.
  • Use and maintenance of PPE.
  • Manual handling and ergonomics.
  • Fire prevention and evacuation.
  • First aid and incident response.

Training records are retained for a minimum of three years and are audited during internal reviews.

Incident Reporting and Investigation

All accidents, nearmisses, injuries, and illnesses must be reported immediately to a supervisor or the Health & Safety Officer. The reporting process includes:

  1. Immediate firstaid or medical care as required.
  2. Completion of an incident report form within 24hours.
  3. Investigation by a competent person to identify root causes.
  4. Implementation of corrective actions to prevent recurrence.
  5. Communication of lessons learned to all staff.

Serious incidents will be reported to the relevant regulatory authority in accordance with legal requirements.

Policy Review and Continuous Improvement

This policy will be reviewed at least once a year, or more often when significant changes occur, such as new legislation, major workplace alterations, or after a serious incident. The review process includes:

  • Analyzing incident and inspection data.
  • Assessing the effectiveness of existing controls.
  • Consulting employees and safety representatives.
  • Updating procedures, training, and resources as needed.

Continual improvement is achieved by integrating feedback, adopting best practices, and fostering a culture where safety is everyone's responsibility.
