Procedures for Collecting Diplomas and Transcripts
Graduation marks the successful completion of your academic journey. To ensure a smooth transition into your professional life, it is essential to follow the official procedures for collecting your diploma (Ijasah) and academic transcript.
1. General Requirements
Before proceeding to the administration office, all graduates must ensure that they have fulfilled the following obligations:
- Clearance of all outstanding tuition fees or library fines.
- Completion of the Exit Survey/Tracer Study form as required by the university.
- Return of all laboratory equipment or rented university properties.
- Submission of the final thesis or project file in both soft and hard copy formats to the library and the department.
2. Mandatory Documents for Collection
When collecting your documents in person, you are required to bring the following items:
- Original Student Identity Card (KTM): This will be returned or marked as inactive.
- Proof of Graduation: The official graduation invitation or the "Proof of Clearance" form signed by relevant departments.
- National Identification Card (KTP): A valid government-issued ID for identity verification.
- Passport Photos: If specifically requested by your faculty, please provide the required number of photos (usually 3x4 or 4x6 cm with a formal background).
3. Collection Procedures
Follow these steps to collect your documents safely and efficiently:
- Verification: Visit the Academic Administration Bureau (BAK) office during business hours. Present your student ID and clearance form to the officer on duty.
- Data Validation: Carefully review your diploma and transcript for any typographical errors, particularly regarding your full name, date of birth, and place of birth.
- Signature: Once you are satisfied that all data is correct, you will be asked to sign the collection registry book.
- Receipt: Receive your original documents and the provided protective folders.
Note for Authorized Representatives: If you are unable to collect the documents in person, you must provide a notarized Power of Attorney (Surat Kuasa) signed on a stamp duty (meterai). The representative must bring their own ID, a copy of the graduate's ID, and the signed Power of Attorney.
4. Important Warnings
Please note that your diploma and transcript are highly valuable legal documents. The university will not issue duplicates if the original documents are lost. If you encounter any errors on the documents during the collection process, do not sign the registry and immediately request a correction form from the administration office.
5. Collection Schedule
Diplomas and transcripts are typically available for collection 14 business days after the graduation ceremony. It is highly recommended to check the status of your document availability via the student portal before visiting the campus.
