Thesis and Dissertation Formatting Requirements

Successfully completing a thesis or dissertation requires not only rigorous research but also strict adherence to institutional formatting standards. These guidelines ensure that your document is professional, readable, and consistent with academic archival requirements. While specific departmental styles may vary, the following core requirements are standard across most graduate programs.

General Document Layout

The visual presentation of your manuscript is the first indicator of academic professionalism. Consistency is the governing principle for all formatting choices.

  • Margins: Standard requirements usually mandate a 1-inch margin on the top, bottom, and right sides, with a 1.5-inch margin on the left to accommodate binding.
  • Font Style: Use a standard, easily readable font such as Times New Roman or Arial. The font size should be 12-point for body text. Footnotes or table captions may be reduced to 10-point if specified by your style guide.
  • Spacing: Double-spacing is required throughout the main body of the document. Exceptions are typically made for block quotations, bibliographies, and table entries, which may be single-spaced.
  • Pagination: All pages must be numbered. Preliminary pages (abstract, acknowledgments, table of contents) use lowercase Roman numerals (i, ii, iii). The main body of the work uses Arabic numerals (1, 2, 3), starting on the first page of the introduction.

Structure and Organization

A formal dissertation is divided into three distinct sections: preliminary pages, the main body, and back matter.

Preliminary Pages:
  • Title Page: Must include the full title, your name, the degree being sought, the department, and the submission date.
  • Abstract: A concise summary of the research problem, methodology, and primary findings.
  • Table of Contents: A list of all major chapter headings and subheadings, corresponding to the correct page numbers.
  • List of Tables/Figures: Included if your document contains five or more visual aids.

Citations and References

Academic integrity relies on accurate attribution. You must choose a citation style (such as APA, MLA, Chicago, or IEEE) as mandated by your specific field of study and adhere to it without deviation.

  • In-text Citations: Ensure that every reference corresponds to a source in your bibliography.
  • Bibliography/Reference List: This must appear at the end of the document. Each entry must contain complete bibliographic data, including author names, publication year, title, and publisher or DOI.
  • Footnotes and Endnotes: If your discipline uses these, ensure that the numbering sequence is continuous throughout each chapter or the entire document.

Figures, Tables, and Appendices

Visual elements should enhance the clarity of your argument. All figures and tables must be introduced in the text before they appear on the page.

  • Labeling: Each figure or table must have a unique number and a descriptive caption placed consistently (usually above for tables and below for figures).
  • Appendices: Supplementary material that is too long or detailed for the main text, such as raw data sets, survey instruments, or extended code, should be placed in the appendix section following the references.

Submission Readiness

Before submitting your final draft, perform a final technical audit of your document. Ensure that all cross-references in your Table of Contents match the actual page numbers, check that all images are high-resolution, and verify that the file is exported as a non-editable format, typically a PDF, to preserve your formatting across different computer systems.
