IGNOU Aryabhatta College

Guidelines for Submission of Scanned Assignments

Introduction

The Indira Gandhi National Open University (IGNOU) requires students to submit assignments for their courses to be eligible to appear in the Term-End Examination. At Aryabhatta College, we have streamlined this process to facilitate academic continuity and ensure timely evaluation. To align with digital education initiatives, students are required to submit scanned copies of their solved assignments through the designated online portal or via email as specified by the study center. This document outlines the comprehensive procedure, formatting requirements, and best practices for submitting your assignments correctly.

Why Submit Scanned Assignments?

Submitting scanned assignments ensures that your work reaches the evaluators securely and on time, regardless of physical constraints. It allows the college to maintain a digital record of submissions, which minimizes the risk of loss and facilitates quicker processing of evaluation sheets. Furthermore, digital submission is a necessary step in adapting to modern administrative standards, ensuring that the academic calendar is not disrupted by logistical delays.

Note: Assignments constitute 30% of the total marks in a course. Failure to submit assignments on time may result in the student being ineligible to take the Term-End Examination for that course.

Preparation Guidelines

Before scanning your assignments, ensure that you have followed the academic guidelines set forth by IGNOU. The assignment must be written on A4 size paper. Use only one side of the paper. Ensure your handwriting is legible; illegible scripts may be rejected or awarded low marks.

Writing the Assignment

  • Use a blue or black pen.
  • Leave a margin on the left side of the page.
  • Write your Enrollment Number, Name, Course Code, and Assignment Code clearly on the first page.
  • Tie the pages together securely or use a tag, but avoid using heavy spiral binding which makes scanning difficult.

Scanning Specifications

To ensure your assignment is readable and accepted by the system, adhere to the following technical specifications when scanning your documents:

Attribute Specification
File Format PDF (Preferred) or JPEG (if single image)
Resolution Minimum 200 DPI (Dots Per Inch)
Color Mode Grayscale or Black & White (Color is unnecessary and increases file size)
File Size Maximum 5 MB per assignment (For larger files, compress before uploading)
Orientation Portrait (Upright)
Clarity Text must be sharp, not blurred or cropped

Best Practices for Scanning

  • Use a scanning app on your smartphone (such as Adobe Scan, CamScanner, or Microsoft Office Lens) rather than taking a photo directly. These apps correct perspective and enhance text readability.
  • Ensure the background is contrasting (plain white sheet under the assignment paper) to avoid shadows.
  • Check the preview before saving the file. Ensure no pages are missing or out of order.
  • Name the file logically. For example: CourseCode_EnrollmentNo_AssignmentCode.pdf.

Submission Process

Once your assignment is scanned and saved in the correct format, follow these steps to submit it to IGNOU Aryabhatta College.

Step 1: Identify the Correct Assignment Code

Ensure you are submitting the correct assignment for the correct course code (e.g., BSTC-101, BEGE-101). Submitting a file with the wrong file name or wrong content will lead to rejection.

Step 2: Access the Submission Link

Visit the official Aryabhatta College assignment submission portal or the specific link provided by the study center coordinator. Ensure the URL is legitimate and starts with https.

Step 3: Fill in Student Details

Enter your Enrollment Number, Name, and Regional Center Code. Double-check for spelling errors.

Step 4: Upload the File

Click the "Upload" button and select the PDF file from your device. Wait for the upload bar to reach 100%. Do not close the browser window during this process.

Step 5: Confirmation

After a successful upload, you will see a confirmation message on the screen. You may also receive an email confirmation. It is mandatory to take a screenshot of this confirmation page for your records.

Warning: Do not submit multiple copies of the same assignment unless instructed to do so. The system may flag this as suspicious activity.

Submission Deadlines

Adhering to the submission schedule is crucial. IGNOU releases assignment submission schedules for two sessions: July batch and January batch.

  • July Batch: Assignments are typically due by March 31st.
  • January Batch: Assignments are typically due by September 30th.

However, Aryabhatta College may set an internal deadline earlier than the university's final date to facilitate processing and evaluation. Students are advised to check the college notice board or website for specific internal deadlines regularly. Late submissions may attract a late fee or may not be accepted at all.

Evaluation Process

Once submitted, the soft copies of the assignments are forwarded to the respective evaluators. The evaluator marks the assignments physically and uploads the marks. The status of your assignment evaluation can usually be checked on the IGNOU grade card portal after a few weeks of the submission deadline.

If you believe there is a discrepancy in your assignment marks, or if the status remains "Not Submitted" despite your confirmation, you must contact the Assignment Coordinator at Aryabhatta College immediately with your proof of submission.

Troubleshooting Common Issues

Issue: File Size Too Large

If your PDF exceeds the upload limit, use a free online PDF compressor tool to reduce the file size without compromising significant quality.

Issue: Upload Fails

Check your internet connection. If the connection is stable and the upload still fails, try clearing your browser cache or switching to a different browser (Chrome, Firefox, or Edge).

Issue: Server Error

If the server is down due to high traffic, wait for a few hours before retrying, preferably during off-peak hours (early morning or late night).

Academic Integrity

Aryabhatta College upholds strict standards of academic integrity. The assignment you submit must be your original work. Copying from peers, guidebooks, or internet sources without proper acknowledgment is treated as plagiarism. IGNOU employs anti-plagiarism tools for project reports and may check assignments randomly. Cases of plagiarism can lead to the cancellation of the assignment and disciplinary action.

Contact Information

For queries specifically related to the submission of scanned assignments at Aryabhatta College, students may reach out to the Study Centre Coordinators during working hours (Monday to Friday, 10:00 AM to 5:00 PM).

We wish you the best in your academic pursuits. Ensure you submit your scanned assignments well before the deadline to avoid last-minute technical glitches.
